Customer Service Coordinator

Job description

•You will have the responsibility and lead support for order management in SAP business system, raising and tracking orders as accurately as possible for two key business areas – Remy Cointreau and LOUIS XIII, while working within the business SLA (service level agreements) delivery lead times,

•You will assist in order fulfilment activities such as taking orders, determining appropriate shipping methods, routes and rates, etc,

•You will ensure special requirements such as advance booking slots, courier or special delivery are arranged, and details are communicated to logistics provider (warehouse) by 11am daily,

•You will be a point of contact for logistics provider (warehousing and transport) – work closely with key contacts, building strong relationships, to ensure SLAs are achieved,

•You will track each morning SAP invoices to customers have been sent out successfully and resolving any IDOCs (EDI/despatch confirmations) failures received over night – done by 9:30am,

•You will be in charge of the creation of credit notes or debits where applicable, working closely with the credit control team to resolve queries in a timely manner,

•You will manage customer service and order management within On trade, wholesalers, independent retailers, prestige, Grocer customers,

•You will lead ad hoc project support, special processes and requests, assist in marketing activities and inventory control maintenance,

•You will support in administration tasks such as reporting to business and customers and allocations of stock for customers,

•You will handle and resolve customer complaints/inquiries via mail or phone in a timely and accurate manner,

•You will monitor product order shipment to ensure on-time delivery to customers,

•You will alert customers on shipping and flow issues in advance,

•You will develop knowledge about each customer’s business model and requirements,

•You will maintain competent understanding of company’s products, their functions and alternatives,

•You will lead maintenance of the customer database accounts, ensuring invoicing/order confirmations records are accurate.


You have a previous customer service experience within fast moving environment (1-3 years) ideally gained in the drinks industry,

•You have good knowledge of SAP, MS Office tools,

•You will bring strong written and communication (includes telephone) skills,

•You have a strong attention to detail, problem-solver and flexible,

•You are pro-active, can work autonomously and are also a team player,

• You have a strong ability to multi-task, adaptable and handle a high workload volume.
