Job Overview

As Facilities Coordinator you will provide support and assistance to the Manager of Office Services in the overall maintenance and functioning of our RCUSA HQ office space in NYC. This role will also split their time (50%) covering reception. Primary responsibilities include upkeep of our pantries, office maintenance, and management of employee office space and conference rooms.

Job Responsibilities 

Pantry/Office Maintenance:

  • Maintain pantries – review inventory, place orders and restock with new supplies
  • Check that the building cleaning services has properly cleaned the pantries in accordance with maintenance agreements
  • Check pantries at least twice a day for cleanliness and repairs– Check coffee machines, counter tops, restock kitchen supplies, take out trash
  • Clean and straighten out common areas – copy/print areas
  • Load and start dishwasher
  • Responsible for pantry appearance and cleanliness
  • Check men’s room daily to ensure that it is clean and that supplies are replenished
  • Prepare conference rooms with all the necessary materials
  • Set up video equipment / conference room equipment, as needed
  • Product Handling:  Distribute monthly samples, keep Product Room stocked with current brands (maintain a threshold of 2 cases per brand)

Facilities Responsibilities:

  • Coordinate repairs and workspace issues with Building Management
  • Handle and expedite special requests and projects for the Manager of Office Services
  • Program RCUSA swipe cards for office space
  • Troubleshoot phone problems and set up phones for new hires
  • Assist in all employee moves – packing up offices, arrange for cleaning of office, work with IT in setting up computer equipment
  • Contact vendors for issues with HVAC, locks, phone issues and other facilities related items.
  • Assist in cost saving measures with vendors to negotiate better rates.
  • Mailroom Assistance in the following areas:

1. Working knowledge of Neo Post postal machine.

2. Preparing FedEx shipment using FedEx Power ship software.

3. Process and monitor all messenger shipments.

4. Deliver all internal packages to the appropriate personnel.


  • Answer all incoming calls in a professional and courteous manner and direct the calls to the appropriate individual.
  • Maintain office security by following procedures, controlling access to office premise, and registering guest/visitors using ANGUS software.
  • Provide visiting guest with WI FI when requested.

Conference Rooms:

  • Assist with conference room Set up and break down as needed.
  • Ensure that conference rooms are always clean after meetings.
  • Assist with preparation of materials for conference rooms, as needed.
  • Assist with set up of video/conference and a/v equipment for meetings


Minimum Qualifications:

  • Must be 21 years of age or older
  • 2-3 years of experience as a Facilities/Office Services Coordinator (Reception experience a plus)
  • Working knowledge of Word, Excel & PowerPoint and Microsoft Outlook
  • Working knowledge of video conference set up and A/V equipment operation
  • Will need to be able to lift 50-75 pounds

Preferred Qualifications:

  • Detailed oriented, good presentation skills, professional and solution driven.
  • Ability to multi-task and prioritize said tasks until complete.
  • Excellent communication skills.
  • SAP knowledge
