Role: Head of Supply Planning

Reporting to: Operations Director
Areas of Responsibility: Master Data, Scheduling, Purchasing, Manufacturing, Inventory Management, Warehousing, Customer Service (hubs), Transport and Supply Chain Projects
Purpose of the Job:
To be responsible for the supply chain from point of manufacture with supplier through to delivery of finished case goods to hubs. Manage a team of five to ensure that all demand is fulfilled, product launch dates achieved on time, successful delivery of all KPIs and all associated costs are delivered within budget.
Principal Accountabilities:
- Mid to long term forecasting of dry goods with suppliers and scheduling manufacturing slots taking into consideration brand plans, stock coverage, risks, storage constraints and associated costs.
- PHD contact for Group Procurement and responsible for local Procurement
- Implementing and controlling RC Group/Purchasing strategies with regards to dual supply ensuring this is managed throughout the supply chain to point of works order and ensuring the weighted average calculations are accurately reported to Finance.
- Supply Chain lead for Supplier Management programme ensuring all relevant data and information is accurately collated and reported. Hold Quarterly, Monthly, Weekly check ins with suppliers (frequency as required)
- Key interface between central planning and PHD via the S&OP Process.
- Review the monthly Purchase Plan for significant variances versus previous month and pro-actively communicate any known constraints such as glass delays or shortages.
- Manage the “push” model for high value, limited editions by determining how much we bottle, the number of bottlings, timings etc.
- Oversee the scheduling process ensuring that the Production Planning Manager has captured all demand, minimised line changes, accurately planned launch dates and prioritised effectively. Manage the process throughout the wider supply chain team to ensure dry goods are available on Islay in time for production.
- Work closely with PHD Brand and Finance teams to ensure all launch plans, financial targets etc are taken into consideration and controlled within the supply chain.
- Ensure the master data (dry & finished goods and transfer prices) are set up accurately by the team and in accordance with the RC Group timeline. Ensure the archive and obsolete process is managed accordingly. Be responsible for valuing the write off each fiscal, preparing a detailed schedule for Finance and ensuring tight control through the team.
- Responsible for stock integrity and ensuring that the physical stock matches the stock reported on the system. Manage the team to ensure stock takes are managed annually.
- Monitor the volume of stock in storage at each location (on site and at suppliers) and constantly strive to reduce/minimise costs. Devise storage strategies and communicate/manage through the supply chain team to ensure delivery. Pro-actively manage the annual ferry overhaul situation to ensure dry goods are on Islay in advance to ensure minimal disruption to production.
- Be the lead for PHD on the Quarterly SMOG (slow moving and obsolete goods) management ensuring close liaison with brand team to push volumes and finding creative solutions such as re-works.
- Lead the allocations process for PHD ensuring supply allocations are put in place and controlled manually so as not to bottle more than allocated. Ensure that CLS are given clear sales allocations to manage with markets and be the first point of contact for CLS Customer Service regarding requests to change allocations.
- Manage the logistics providers ensuring regular service reviews and site visits. Lead the negotiations for transport and storage pricing.
- Manage local write off provisions, making recommendations to Finance and actioning the output.
- Manage the KPIs regarding inventory cover, despatch OTIF etc and present at the monthly and quarterly Operations Management Meetings.
- Liaise closely with QC department to ensure NCRs are closed down in a timely fashion and buying/scheduling is done accordingly. Ensure that QC department liaise with Warehouse team to implement and control the quarantine process.
- Lead and manage a team of four (three direct reports) and ensure their on-going development in line with business and personal needs.
- Be the PHD lead for the Switch process with RC Group.
- Represent Supply Chain at the LT20.
- Be the lead for Supply Chain projects such as Tetris, KPMG, SAP phase 1, NPD projects etc.
- Ensure adherence to RC Group and PHD CSR policies.
